Buckeye/Clover Meeting Room Use Policy

1.      Room is available to reserve for only the following groups:
  • Non Profit Organizations/ Groups for general meetings & educational programs
  • Fulton County Government Agencies
  • 4-H
  • Fulton County SWCD
  • Girl Scouts
  • Boy Scouts
  • The Meeting room is NOT available for personal functions such as bridal or baby showers, businesses, salesmen, tax seminars, insurance salesmen, fundraisers, etc.
2.      Room is available at no cost
3.      Can Schedule room 45 days in advance of your meeting/program
4.      Please include your set up and tear down time in your reservation time frame
5.      Scheduling can be done through:
  • ( E-Services-Facilities-Search Robert Fulton)
  • Call Ohio State University Extension Office, 419-337-9210, during normal hours of 8:30am-4:30am, closed for lunch between 12:00pm-12:45pm, make sure you check for government holidays when wanting to schedule
6.      Organizations will be responsible for damages or cleaning charges
7.      Buckeye & Clover Rooms- Max Occupancy 60 people each or 120 for both rooms (Cannot exceed due to fire codes)
8.   You MUST request reservations on each calendar if you would like to reserve both rooms
9.      Building Key: (for evening and weekend events only)
  • Key must be picked up prior to event during regular office hours 8:30a-4:30p, closed for lunch 12:00p-12:45p, preferably the day of your event, or Friday for weekend event.  Make sure to check for government holidays when picking up key
  • Key allows entrance from the front door
  • Persons must be 16 years or older to pick up the key
  • Key MUST be returned the same day as your event to the office or placed in the night deposit box on the outside of the building
  • KEYS MAY NOT BE DUPLICATED, if found you have done this your group will lose all building privileges
10.      Requirements for room usage:
  • Lights for the entryway between front doors must be turned off.
  • Lights in the lobby are turned on and off on wall by double front doors.
  • Lights in both conference rooms must be turned off.
  • Windows must be closed and blinds in the lowered position.
  • Make sure the outside doors facing the east (backside) of rooms are firmly shut and locked.
  • You are not to access the utility closet between the restrooms.
  • You must check that toilets have been flushed and no water is running. Turn off restroom lights in both men’s and women’s restrooms.
  • The Buckeye Room set up is in a square/rectangle format.  Tables and chairs may be placed in any orientation but must be replaced to the charted arrangement at the end of the meeting. Keep furniture at least 2 inches from the wall to prevent scarring.
  • The Clover Room is set up in Classroom format. That means tables and chairs face the front of the room for a guest speaker with one table from which the speaker may present. Again, the furniture may be moved, but you will reset them to this format.
  • Tables shall be wiped down as needed.
  • A sweeper is provided in the meeting room for light carpet or tile messes. Please clean up any spills immediately.
  • Trash cans should be emptied in the trash dumpster found at the northeast corner of the back parking lot.
  • The Extension office kitchen facilities (refrigerator, stove, etc.) are not available for this building. Each meeting room has a sink.
  • Audio/Visual equipment is not available
  • No materials may be attached, taped, puttied or pinned to the walls, doors or hung from the ceiling
  • Post-It charts are acceptable for use on the walls. However, you must provide your own charts and supplies.
  • Dry erase boards are available to use.  Please erase/clean when finished.
