Ken Caldwell & Ann Witte, Department of Job and Family Services Training/Information on Administrative Agencies

Present for the presentation were Director of the Department of Job and Family Services, Ken Caldwell and Administrative Assistant Supervisor, Anne Witte.

 

Anne Witte conducted a PowerPoint 

Presentation on Fulton County’s Job & Family Services Organizational Support Team.

 

 

Their  team consists of the following five members:

Helen Tefft is responsible for:

 

Healthchek services - A preventive health care and treatment service for Medicaid eligible children from birth until 20 years of age.

           

Transportation Assistance-available by gas vouchers and cab services for:

■Medical appointments

■Appointments at the agency

■Appointments as required by the  

   agency

 

Directs customers to:

  • Fulton County One Stop/Workforce
  • Adult/Youth GED
  • Rehabilitation Services:

-          Vocational

-          Visual

  • Nocac (Community Action)
  • Re Employment/ Unemployment
  • United Way
  • Job & Family Services

                      

Directs phone calls to all of the following locations previously mentioned

    

Carol Dulaney and Amy Morr are jointly responsible for:

 

• Switchboard - calls for the agency get routed through here, on an average of 260 per day.

•Greet customers - an average of 275 people come into the agency during the week.

• Provide information to customers who are looking for other sources of assistance

• Scan in documents into Onbase            system

•Income and Medical verifications - verification of eligibility and to better determine the customers immediate needs

•Screening applications

•Scotland Yard - this software system allows staff to list and update their status each day.  It is an electronic sign in and out board.

•Scanning documents - since going to an almost paperless system, the majority of documents are scanned in through the mail or across the front desk.



 

Carol Dulaney and some of her other duties:

•Case transfers

            Electronic &

            Manual – in and out

•PRC Tracking

•TDD

•Mail machine postage download

•Receives the state CRISE computer alerts for case transfers. She will log and assign them to the correct Income Maintenance caseworker. 

PRC tracking

*As vouchers for PRC assistance are issued, enters them into a PRC log for both repayment and non-repayment PRC’s

*Maintaining Telecommunications Device for the Deaf  (TDD).

*JFS 2453 – Hospital Referrals for patients that do not have insurance to cover medical services rendered

• Closed file destruction

• PRC – repayments:  An average of 450 reminder letters are send out twice each year to those that have outstanding balances.

• Business Cards

• Application folders

• Library

  

Deanna Moss’ responsibilities include:

•Incoming and outgoing mail – the bulk of the incoming and returned mail is scanned into the Onbase system

•Pay-ins -  processing payments that are received by Job and Family Services

•EBT Coordinator - EBT is Ohio’s system for delivery of food stamp benefits.  An EPPIC System is also used to track where customers have moved to.

•Postage paid account -  keeps a daily tally of the postage paid envelopes.

•Procurement of state printed forms and publications

•Copier meter readings and service calls

•Equipment sign-out

Anne Witte is responsible for:

 

*  Supervision of the OST unit

*  Supervision of child care staff

*  Contracts

     - child care services

     - transportation with local cab 

        companies

     - child placement contracts for the care  

        of foster children

     - IV-D contracts for CSEA

     - TANF contracts, which provides

        funding for:

      *    Domestic Violence Assessment &

            Services

     - ELI -Early Learning Initiative, a kindergarten readiness program

     - Pregnancy Program Services -services that are available to Medicaid eligible pregnant women throughout their pregnancies and 60 days post partum.

  

•Send out Healthchek and Help Me Grow Program info to them if they’re not already on HMG program services. 

*Imaging – converting forms to allow caseworkers to complete them on computer.

•Serve as backup for our computer systems. 

•Serve as backup for Habitec security system.
